Register Your Email Address

SAIC Standard Mailbox and Email Addresses

All SAIC employees are assigned an SAIC Exchange mailbox and two SAIC standard email addresses when they join the company. Your two standard Email addresses are illustrated below and will deliver email to your SAIC Exchange mailbox. You must use either of the below email addresses in correspondence and on your business cards.

  • first.middle.last@saic.com (e.g., john.q.smith@saic.com)
The SAIC standard is that this address will be your "reply to" address and cannot be changed.
  • username@saic.com (e.g., smithjq@saic.com)
This is an alternate form that can be used on business cards if the first form does not work for you. This will NOT be your reply address and cannot be changed to be your reply address.

To ensure your business cards and other correspondence include the correct SAIC email address, new employees should not create business cards until their SAIC Standard Email address is posted on ISSAIC.

Use of non-SAIC Mailboxes and Email Addresses

There are cases where employees are authorized to use a mailbox other than the SAIC Exchange mailbox, however specific conditions apply. The remainder of this page describes those cases and how to comply with SAIC policy regarding use of SAIC email addresses and customer site mailboxes.

Employees who work exclusively at a customer site and have a business need to use an alternate email address, should use an SAIC process called "Registering your email address". This "Registration" process links a standard SAIC email address to an approved alternate email address. Please carefully review all the information on this page. There are very specific guidelines, procedures, and things to know about email registration.

Some of SAIC's subsidiaries have been authorized to use their subsidiary addresses. Please check with your manager regarding what addresses are authorized or check with the Service Desk. These addresses must also be registered, but the subsidiary address will remain the reply address.

Who Should Register their Email Address?

  • Employees who work exclusively at an SAIC customer site and whose management agrees that they do not need an SAIC mailbox, should submit a request to register their customer site address.
  • Employees of a company involved in a merger/divestiture activity with SAIC may need to register their address. In this case, employees will be advised by the SAIC M&A team or their management of the requirements for email address registration.
  • Employees whose SAIC People Directory page indicates they do not have an 'Actual Mailbox' or the actual address says 'noemail', should register their email address. Employees who do have an SAIC mailbox and see 'noemail' should contact the SAIC Service Desk.
  • Employees whose registered email address has changed (i.e., a previously registered address needs to be updated).

Important Points About Registering Your E-mail Address

  1. SAIC Policy SG-3: Information Systems Security Protection, states that employees must maintain an SAIC email address for all official business. The SAIC Standard Email Addresses are to be used for this purpose except for some subsidiaries as noted above.
  2. The use of external or third-party email service providers for SAIC business-related email is prohibited unless approved by the Chief Information Security Officer. Employees must use the How to Register or Update Your Email Address process to ensure that proper approval is obtained.
  3. Mail sent to either of your SAIC Standard Email Addresses will be sent to your registered address. SAIC Exchange addresses are registered automatically.
  4. The SAIC Standard email addresses (aliases) are used for important companywide announcements. You will miss these announcements and you will not be in compliance with SAIC policy if your non-SAIC Exchange address is not registered.
  5. Within 30 days of registering a non-SAIC Exchange email address, an employee's SAIC mailbox will be deleted.
    • Within 30 days of registering your address, please take action to forward any mail in your SAIC Exchange mailbox that you would like to retain to your new email address.
    • Employee-maintained Outlook forwarding rules are not allowed, so you must forward the mail manually or use a PST file (recommended). If you decide to move the mail using an Outlook PST and a thumb drive or other portable media, SAIC Policy SG-3 requires that the media be encrypted. Even if you password protect the PST, the media must be encrypted.
  6. Changes you make by registering your offsite email address or re-instating your SAIC Exchange mailbox will be completed within one day of the time the request has been approved. Due to synchronization timing issues, it is important to check your old and new mailboxes for 24 hours to ensure that you do not miss any important mail.
  7. The process to re-instate an SAIC Exchange mailbox is:
    1. Request an SAIC Outlook account or by calling the Service Desk.
    2. Because you were using an offsite email address, you must register your SAIC Exchange mailbox yourself using the defined process below in steps 4 through 7.
    3. Check both mailboxes for 24 hours until the SAIC systems have all be undated to direct your mail to your new designated mailbox.

How to Register or Update Your Email Address

  1. From the outside email address you wish to register, submit your request to SAIC ITS Security by addressing your email to DirectorofITSecurity@saic.com. The message should include a brief description of your business justification for sending SAIC information to this address. You will receive an approval or denial for your request via email. This does not complete the registration process. This is only a submission for approval.
  2. Upon receiving ITS Security Approval, submit a new message from your primary email account (the account where you want to receive/read your SAIC email).
  3. Ensure the selected format of your email is plain text (html or rich text formats will result in an unsuccessful registration). In Outlook you can change the message format to plain text by selecting the "Plain Text" option from the "Format" menu.
  4. Address a message to directory@saic.com.
  5. Leave the title or subject of the message blank.
  6. In the body of the message, type:
    1. For employees:
Type the word email followed by a space, type your employee number followed by a space, and type your last name.
For example, James Bond, employee 007, would enter the following:

      Email  007  bond

    2. For temporary employees:
Type the word email followed by a space, type your standard userid (usually your last name and first initial, i.e., James Bond's standard userid would be bondj) followed by a space, and type your last name.
For example, James Bond, temporary employee, would enter the following:

      Email  bondj  bond

  7. Send the message.
  8. Within one business day, you will receive an email response message confirming receipt of your email with instructions to complete your registration by calling the SAIC Service Desk.
  9. Please contact the SAIC Service Desk as requested. When instructed, manually forward any emails that you need to retain to your newly registered non-SAIC email address.
  10. You will be requested by the Service Desk to close your SAIC mailbox after 24 hours.

NOTE: If you are attempting to register an email address that does not end with saic.com, (example:bondj@gateway.com) you may be in violation of Administration Policy SG-3.
